Seven-day AI builds

We build the systems that fix the problems killing your profits. In seven days.

We work alongside Australian trades and allied health businesses to fix the admin that's costing you jobs. Working systems shipped in seven days - on tools you already pay for: Make, Zapier, Google Workspace, ChatGPT, Claude, and whichever job management platform you run (ServiceM8, Tradify, Simpro, Cliniko, Nookal, or a spreadsheet). No retainers until you've seen it work.

30-minute audit. Plain English. No sales pitch.
Why this matters

The work is fine. The admin is killing the margin.

Three problems show up in almost every trades and allied health business we audit. None of them are about how you do the job - they're system problems. And system problems have fixes.

Leads slip through the cracks.

Quotes go out late. Follow-ups don't happen. The job goes to whoever rang back first - and that wasn't you.

Everything gets done twice.

The same job details get typed into the calendar, the invoice, the CRM, the text to the client. Every double-handle is a margin leak.

You're the only one who knows.

Quote prices. Which supplier. How to handle that kind of customer. It lives in your head, not in the business. If you're on a job, on leave, or not picking up - everything slows down. That's not a staffing problem. It's a system problem.

None of these are people problems. They're system problems - and a business running on good systems is faster to grow, easier to staff, and worth more if you ever want to sell it. That's the gap we close.

The Australian Government's National AI Centre (ai.gov.au) identifies admin automation as one of the highest-impact AI applications for small business - particularly in industries where the same tasks repeat daily. Trades and allied health are two of the clearest examples of that pattern.

Who we work with

Pick your lane.

We work with two industries deeply, not ten industries shallowly. Both have the same admin problem. Both have very different fixes.

For trades businesses

Plumbers, sparkies, builders & HVAC.

  • Systems that take you from quote to paid - without needing a CRM
  • Lead-response automation that beats the competitor to the customer
  • Invoice and review chasing that runs without your input
See Trades Solutions
For allied health

Physio, chiro, OT, podiatry & dental.

  • Patient intake flows that cut admin time per booking
  • No-show and rebooking follow-ups that run themselves
  • Referrer comms and intake forms that don't need a receptionist

Thinking about hiring a VA?

Read this first.

A great virtual assistant and a great system aren't the same thing - and most Aussie operators end up needing both. The order you build them in matters.

Hire a VA when

The work needs judgement.

  • Complex client emails that need a human reply
  • One-off compliance paperwork or NDIS submissions
  • Real-time phone calls during business hours
  • Anything that changes every time and can't be templated
Build a system when

The work repeats.

  • Quote follow-ups on a 48-hour, 5-day, 10-day timer
  • Invoice reminders at 7 and 14 days overdue
  • Review requests sent 24 hours after job completion
  • Anything that runs the same way every single time
The honest order

Most plumbing crews and allied health practices we audit end up with both. The system handles the repeatable 80 percent. The VA handles the messy 20 percent. Build the system first, then hire the VA for the work the system can't touch. You'll need fewer VA hours - and the hours you do buy go to work that actually needs a person.

How we work

Four steps. No retainers until you've seen it work.

We don't sell strategy decks. We start with a free audit, ship a working system in seven days, then train your team to run it. Retainers come last, and only if the systems earn their keep.

01

Free 30-minute Bottleneck Audit.

We map your get-paid process, find the three biggest leaks, and tell you plainly which ones AI and automation can fix - and which ones can't.

You walk away with: a written shortlist of fixes, ranked by what'll pay off fastest.
02

Seven-day build sprint.

We pick the fix that'll pay off fastest and ship it. Working system, not a PowerPoint. Built on tools you already pay for - Make or Zapier for automation, Claude or ChatGPT for AI, Google Workspace for the back end, and your job management platform (ServiceM8, Tradify, Simpro, or Cliniko) for the data layer.

You walk away with: one working system, live in your business, paying for itself.
03

Train your team to run it.

A short video walkthrough, a one-page SOP, and a live handover session. Your team runs the system. We're not in the loop on day-to-day operations.

You walk away with: a system your team owns, not one they depend on us for.
04

Optional fractional retainer.

Once one system is paying off, we embed for 1-2 days a week as your fractional AI Operator. New systems ship monthly. Cancel any time.

You walk away with: a plan for the next 3-6 systems, in the order they'll make you the most money.
Inside a sprint

How the seven days actually break down.

Day 1
Discovery and setup. We review the Bottleneck Audit findings, connect your tools (Make or Zapier, your CRM, Google Workspace), and map the exact data flow the system needs. You get a one-page build brief by end of day confirming exactly what will be built.
Days 2–3
Core workflow built and tested on dummy data. The automation is built in Make or Zapier. Each trigger, filter, and action is confirmed before we touch live data. Claude or ChatGPT handles any AI-generated content inside the workflow - quote follow-up drafts, review request messages, intake summaries.
Day 4
CRM integration. We connect the workflow to your job management platform - ServiceM8, Tradify, Simpro, or Fergus for trades; Cliniko, Nookal, or Coreplus for allied health. Spreadsheet-based? We wire it to Google Sheets.
Day 5
Live data testing and edge case handling. The system runs against real jobs from your history. We test for the scenarios that break automations in real business: missing phone numbers, duplicate records, jobs that don't close cleanly. A kill switch is added - one toggle in Make or Zapier pauses the whole sequence.
Day 6
Dashboard built. A one-screen view in Google Sheets or Looker Studio showing what matters: quotes sent vs. followed up, average days to payment, review requests sent vs. reviews received. If the numbers don't move, the system hasn't earned its keep.
Day 7
Handover. A one-page SOP, a short screen-recorded walkthrough of every moving part, and a live video session with you and your team. The system is yours to run from day one. We're not in the loop on day-to-day operations after handover.

How we compare

Seven days vs. the alternatives.

Most small business owners weigh up three or four options when they're thinking about fixing an admin problem. Here's an honest comparison.

What we're working with

Real tools. Real buyers. Real outcomes.

GrokoryAI products are in the hands of Australian tradies and small business owners. Every system we build sits on top of the same handful of tools you probably already use.

25 years in digital operations and marketing. Built for small businesses, not enterprise. Not an AI researcher - just an operator who builds tools people can actually use.

Who you're working with

Gregory Hardiman. 25 years in the trenches.

Gregory Hardiman, founder of GrokoryAI
Melbourne, Australia

I'm Gregory. I run GrokoryAI out of Melbourne. Before this, I spent 25 years inside digital operations and marketing teams - agency side, client side, and as the guy you call when the website breaks at 9pm. I've built and broken enough systems to know which ones survive contact with a busy small business and which ones don't.

The lesson that took me longest to learn: most small businesses don't need strategy. They need the next bottleneck fixed, this week, with the tools they already pay for. Big consulting reports make consultants feel important. They don't make plumbers any money.

GrokoryAI is what I wish had existed when I was working out of a ute or running a clinic. An operator who turns up, fixes the leak, trains your team to run it, and leaves the system behind. Not a retainer. Not a platform. Just working systems, built in seven days or less.

If it doesn't create time, reduce stress or increase revenue - don't build it.

The fair questions

What every Australian business should ask before buying AI.

The Australian Government's National AI Centre (ai.gov.au) publishes guidance on responsible AI adoption for small business - including a buyer checklist for evaluating AI suppliers. We answer the six questions that matter most for trades and allied health businesses below.

Can AI actually save time for a small trades or allied health business?

Yes - but only when it's targeted at the right work. The systems we build focus on repeatable admin: quote follow-ups on a 48-hour timer, invoice reminders at 7 and 14 days overdue, review requests sent 24 hours after a job closes. These run the same way every time and don't need a person's judgement. A single seven-day build typically saves 5-10 hours of admin per week.

What happens if the AI makes a mistake?

Every system we build keeps a human in the loop on anything that touches a customer. Quote follow-ups, review requests, invoice reminders - they're drafted by the system, reviewed by you or your office, and sent on your approval. The AI doesn't go behind your back. We also build a kill switch into every workflow - one toggle in Make or Zapier pauses the whole sequence while you fix the underlying issue.

Who owns my customer data, and where does it go?

Your data stays in tools you already own and control - your CRM (ServiceM8, Tradify, Cliniko, or whichever platform you use), your Google Workspace, your phone. We don't store it on a GrokoryAI server because there isn't one. When we use ChatGPT or Claude inside a system, we use the paid business tier with training switched off by default, and we tell you exactly which fields get sent and which don't. If you exit, your data stays with you.

Do I need to be technical to run one of these systems?

No. The whole point of a 7-day sprint is that we ship something your office person can run from day one. Every build ships with a one-page SOP, a short video walkthrough, and a live handover session. If your team can use Gmail and a CRM, they can run the systems we build.

How do I know the automation is actually working?

We build a one-screen dashboard for every system - usually a Google Sheet or a simple Looker Studio view - that shows the numbers that matter. Quotes sent vs. quotes followed up. Average days to payment. Review requests sent vs. reviews received. If the numbers don't move in 30 days, the build hasn't earned its keep, and we say so before you do.

Why seven days - what's the catch?

Seven days is the constraint, not a marketing claim. It forces us to pick one bottleneck and ship one working system - not three half-built ones. If the problem genuinely can't be solved in seven days, we tell you in the audit and either break it into smaller jobs or refer you on. We'd rather lose the project than ship something half-working.

The full National AI Centre buyer checklist is at ai.gov.au. We're happy to walk through any of the questions we haven't answered here on the audit call.
